Large corporations have numerous standards, guidelines and documentation to make sure that everyone/anyone working on their technology stays on the same page. This limits miscommunication or no communication between the left hand and the right hand, especially when it comes to IT technology.

I am finding that more and more medium, even small businesses are bringing in multiple people or companies to work on their IT technology (kitchen), creating more complex, confusing and costly troubleshooting issues down the road - to many cooks.

Between the internal staff person who knows X, then the friends' son who knows Y and finally a 3rd party company XYZ, you can have a mesh on your hands. The cost savings (or potential) is usually dwarfed by the loss of productive time and actual repair costs to ultimatlely clean things up.

2nd to having one person/dept/company addressing all of your needs, a simple fix is to designate one person to take care of the low level issues (printer problems, updates, etc.) and one person/company addressing the higher level items (servers).  As important, is to have them write down and document what each person did in a simple 3-ring binder. Incorporating your software into the binder (they sell plastic holders for disks) will get you well on your way to controlling your technology and costs.

Larger companies call this an "IT Library" and having your documentation organized can prove to be invaluable in the future. By limiting the numbers of people (cooks) in your IT kitchen, your system will be more reliable and the time and cost savings - priceless!
