Software: make sure your current hardware meets all the necessary requirements to run the new/more-advanced software products. New versions of software and different software brands can have specific computer hardware requirements. When choosing your new or updated software, make sure you receive a complete list of the minimum system requirements to ensure the proper operation of the software. Otherwise you could end up with very expensive software that you can't use or you could end up doubling your costs and be forced to upgrade your hardware.
Hardware: The "Best Price" doesn't always mean the "Best Deal"! Too often the "specials" offered do not include many components necessary to use the machine effectively, and can more than double the cost of the "special" when adding the other components. Make sure you map out exactly what you need the hardware to do and then shop for the best price based on that, not the other way around.
Getting Help: Bringing in a third party to negotiate on your behalf and project manage the upgrade will save you time and money. A third party has no hidden agenda; they are working solely on your behalf and WILL save you both time and money. They will work to find the hardware/software that meets all of your requirements with the best price without pushing for one version or another. Vendors tend to push customers towards their own products only because they get a % for how much they sell, not always because it's what's best for you. A third party can eliminate that hassle and save you time - money & help secure the right system for you long term.
