The following are some simple ways for you to have a more productive meeting:
- Establish an agenda with time perimeters
- Stick to it
- Hand it out ahead of time so people can gather their thoughts and so they can be better prepared
- Stay on track with the agenda (#1 Problem is getting off track)
How do you regain control and stay on track?
1. The best way is to establish meeting guidelines (rules) before you start. For example: Raise your hand if you want to speak.
2. Use the "Defer" statement. For example: "That is a good point but I would like to defer that till the end or later and get back to the topic of...."
3. Pre-establish time windows and try to stick to them.
4. Pre-set the meeting objectives and what you feel the end result(s) should be.
Leading is an "art" that few are born with. Taking the time to be a better leader for a meeting will not only recoup the learning time in spades but will make the end results that much more effective.
